Project Manager

Location: Tulsa, OK

Description:

As a Project Manager (PM), you will play a pivotal role in leading projects from inception to completion. Your responsibilities will encompass driving the project timeline, managing resources, and ensuring the satisfaction of both customers and vendors. The ideal candidate will demonstrate strong leadership skills, exceptional problem-solving abilities, and a commitment to delivering projects on time.

Key Competencies:
  1. Leadership: Provide purpose, direction, and motivation to the project team, fostering a collaborative and high-performance environment.
  2. Problem Solving: Own project challenges and ensure solutions are driven to completion. While you may not always create the solution, you are responsible for the problem until it is resolved.
  3. Critical Thinking: Manage the project scope effectively, develop schedules, and navigate change orders to set realistic customer expectations and capture costs.
  4. Influencing: Build strong relationships with internal team members and vendors to motivate them to meet project deadlines.
  5. Communication: Serve as the primary point of contact for customers and vendors post-sale. Manage all project documentation and ensure seamless communication across all stakeholders.
  6. Time Management: Ensure 100% on-time project delivery by proactively managing the project schedule and resolving issues swiftly.

Responsibilities:
  • Servants Heart: Approach all tasks with a customer-first mindset.
  • On-Time Delivery: Ensure timely project completion by adhering to established schedules and milestones.
  • Professionalism: Maintain a high standard of professionalism in all interactions and deliverables.
  • Customer Relationship Management: Develop and nurture relationships with customers as the main point of contact, ensuring a response time of 24 hours or less.
  • Vendor Liaison: Act as the main point of contact for vendors, also maintaining a response time of 24 hours or less.
  • Project Scheduling: Develop and drive the project schedule, ensuring clarity on deadlines and deliverables.
  • Kickoff Meetings: Schedule and facilitate kickoff meetings with internal teams, customers, and vendors.
  • Scope Definition: Clearly define and document the project scope in alignment with the Applications Team and customer expectations.
  • Document Management: Oversee all project documentation to ensure accuracy and accessibility.
  • Material Monitoring: Monitor the purchasing and delivery of materials and outsourced items, ensuring timely availability for project execution.
  • Final Drawing and Document Check: Conduct thorough checks of final drawings and project documents to confirm accuracy.
  • Change Order Management: Handle change orders and additional requests, ensuring proper documentation and approvals.
  • Cost Management: Review project costs and invoicing, ensuring alignment with project budgets and customer agreements.
  • Customer Feedback Management: Manage customer comments and filter redlines to ensure all feedback is addressed.
  • Equipment Delivery Coordination: Arrange and manage the delivery of equipment as needed.
  • Factory Acceptance Testing (FAT): Schedule and facilitate FAT for equipment to ensure compliance with specifications.
  • Job Cost Review Participation: Provide project insights during job cost reviews to identify areas for improvement.
  • Final Data Book Review: Review and finalize the data book for project completion.

Qualifications:
  • Bachelor’s degree in Project Management, Engineering, or related field.
  • Proven experience in project management, preferably in a similar industry.
  • Strong organizational, leadership, and communication skills.
  • Proficiency in project management software and tools.
  • Ability to work collaboratively and influence cross-functional teams

Competencies and Duties
  • Leadership: Provide purpose, direction, and motivation to the team.
  • Problem Solving:  Confront project issues, arrange necessary resources, and drive solution through completion.  The PM doesn’t have to come up with the solution, but they own the problem until it’s resolved.
  • Critical Thinking:  Manage scope of project and develop schedules.  We have a standard project schedule that we start off with but throughout the life of the project, managing change orders requires careful thought in order to set customer expectations and capture costs.
  • Influencing:  Motivate internal team members and vendors to meet required dates through relationship building and adherence to schedule.
  • Communication:  Main point of contact for customer and vendors once project is turned over from sales team.  Responsible for the management of documentation both to customers, internals departments, and vendors.  All project updates run through the PM.
  • Time Management:  100% on time delivery of the project by winning the everyday battle.  Drive to meet the project gates as laid out in the schedule and resolve project problems quickly
